Billing under a signed BAA
Medical Billing · USA

Most practices are not underpaid. They are under-billed.

Doctor, the gap between what you earned this month and what you collected is rarely one big problem. It is charges entered late, claims scrubbed against last year’s payer rules, and payments posted without anybody checking the allowed amount.

The scope

Billing support from encounter to payment

A complete billing workflow keeps the clinical record, the submitted claim and the payment connected. We work inside your existing system, track the handoffs and make unresolved balances visible.

Capture the encounter

Review the claim

Track the payment

Charges sit for days before entry

Every day a charge waits is a day taken off the far end of the filing window, and it moves the whole aging curve to the right for no clinical reason.

The scrubber checks generic rules

A generic edit set catches format errors. It does not know that one of your commercial payers changed its bundling policy in the last quarter, so those claims go out and come back.

Payments are posted, not checked

Posting a payment is not the same as verifying it. An underpayment against your contracted rate looks exactly like a payment until somebody compares the two.

The process

Charge to deposit, and somebody owns each step

Here is what the work looks like, from the first review to the next action.

A defined task.
A documented action.
A visible next step.

  1. Charges in within one business day

Superbills and encounters are entered the day they reach us. Nothing waits for a batch, because a batch is just a queue with a nicer name.

  2. Scrub against your payers, not a generic list

Claims are checked against the edits that apply to the payers you actually bill, including the local coverage rules that vary by state.

  3. Submit and confirm acceptance

Submission is not the milestone. We track the clearinghouse and payer acknowledgement and chase anything that never acknowledged.

  4. Post payments against the contract

Remittances are posted and compared to your contracted rate. An underpayment is flagged as a variance rather than filed as a payment.

  5. Work the balance to zero

Remaining balances are reviewed for secondary coverage, adjustments and valid patient responsibility. Statements and follow-up reflect that review, rather than treating every unpaid amount as patient debt.

Medical billing and practice administration: medical billing workflow
In practice

A claim is more than a submission

Every handoff needs a check: the encounter must be complete, the payer must acknowledge the claim, and the payment must be reconciled. Your team should be able to see what happened and what happens next.

The difference

What changes when billing is somebody’s only job

This is not a criticism of your staff. It is a question of what happens to the billing queue on a busy clinic day.

Your questions

A few things to know before we start

The right scope starts with a clear conversation.

Not the question you had?

Ask it directly. You will get an answer from somebody who works accounts, not a sales script.

Monday to Friday, 8am to 5pm Central Time
Do we have to change our software?

No. We work inside your existing practice management system. There is nothing to migrate and no new license to buy.

How is the fee calculated?

It is a percentage of what we actually collect for you, starting from 3.49%. If the money does not come in, we do not get paid on it either.

What happens to our current billing staff?

That is your call and we have seen it go both ways. Some practices move them onto patient facing work, others keep them as the internal point of contact with us.

How long before we see a difference?

The submission side changes in the first billing cycle. Aged accounts receivable takes longer, because old claims move at the payer’s pace and not ours.
