Billing under a signed BAA
Revenue Cycle Management · USA

Revenue does not leak in the steps. It leaks in the handoffs.

Doctor, every step of your revenue cycle probably works. The eligibility check happens, the coder codes, the biller bills. What nobody owns is the space between them, and that is where claims sit for three weeks waiting for somebody to notice.

The scope

Connect the work to the financial picture

Revenue cycle management brings front-office information, billing activity and collections into one operating view. We look for the point where work stops moving, then assign the next action to the right team.

Patient access

Claim operations

Revenue visibility

Each team measures its own piece

The front desk measures check ins, coding measures charts, billing measures submissions. Nobody measures the one number that matters, which is how long it takes a visit to become money.

Problems bounce instead of resolving

An eligibility failure becomes a denial, which goes to billing, which sends it back to the front desk, which cannot fix it retroactively. Two weeks pass and the claim has not moved.

Reporting arrives too late to act on

A month end report tells you what already happened. By the time an aging problem shows up in it, the oldest claims in that bucket are already close to their filing deadline.

The process

One team from eligibility to zero balance

Here is what the work looks like, from the first review to the next action.

A defined task.
A documented action.
A visible next step.

  1. Verify before the visit, not after

Eligibility and benefits are checked ahead of the appointment, including whether an authorization is required, so a coverage problem is a phone call and not a denial.

  2. Code and charge as one step

The coder and the biller work the same account. A documentation question gets asked before the claim goes out rather than after the payer asks it.

  3. Submit, then confirm it landed

Every claim is tracked to payer acknowledgement. A claim that never acknowledged is chased inside the week, not found at month end.

  4. Review A/R weekly with names on it

Aged accounts are reviewed every week and each bucket has a named person answering for it. Nothing ages because it was nobody’s.

  5. Report monthly in numbers you can act on

Days in A/R, first pass acceptance, denial mix by payer and reason. Written for a practice owner, not for another billing company.

Medical billing and practice administration: revenue cycle management workflow
In practice

Follow the revenue, not just the claim count

Collections, adjustments, denials and aging tell different parts of the story. Reviewing them together helps distinguish a front-end problem from a payer delay or an unresolved balance.

The difference

What changes when one team owns the whole cycle

The difference is not effort. It is that there is no longer a boundary for a claim to fall across.

Your questions

A few things to know before we start

The right scope starts with a clear conversation.

Not the question you had?

Ask it directly. You will get an answer from somebody who works accounts, not a sales script.

Monday to Friday, 8am to 5pm Central Time
Is this just all your services bundled?

It is the same work, but the difference is real: one team owns the account start to finish, so nothing needs handing between us and somebody else. Buying the pieces separately leaves the handoff problem in place.

Do you take over our front desk?

No. Your staff keep the patient facing work. We take verification, coding, billing and follow up, which is the part that needs payer knowledge rather than a relationship with the patient.

What reporting do we get?

Days in A/R, first pass acceptance, denial mix by payer and reason code, and collections against charges. Monthly, with a call if you want to go through it.

Can we start with part of it?

Yes, and many practices do, usually with denials or aged A/R because that is where the recoverable money is. You can widen the scope later.
