Your clinical staff are doing an administrative job.
Doctor, the phones, the scheduling, the intake forms and the prior authorizations all land on whoever is nearest. That is usually somebody you hired for their clinical training, and it is the reason your front desk turns over.

Give your front desk room to focus
Administrative support works best when responsibilities are clear. We support scheduling, calls and follow-up within an agreed scope, with a defined handoff for questions that need your on-site or clinical team.
Agree the task
Support the patient
Close the handoff
The phone always wins
A ringing phone interrupts whatever is in front of your staff. Everything else, including the tasks that turn into revenue, waits until it stops.
Prior authorizations eat the afternoon
Submission is quick. Following up, resubmitting and holding for a payer is not, and it is nobody’s scheduled work so it happens between other things.
A shared call center is worse than nothing
Somebody who does not know your providers, your schedule or your patients creates work rather than removing it. Continuity is most of the value here.
One assistant, working your systems, not a call pool
Here is what the work looks like, from the first review to the next action.
A defined task.
A documented action.
A visible next step.
Scope what actually takes the time
Before anybody is assigned we go through where your front desk hours go. It is often not what the practice assumed, and one of the tasks is usually removable rather than delegable.
Assign one named person
You get an assistant, not a rota. They learn your providers, your schedule rules and your regular patients, which is the whole difference from a call center.
Train them on your systems
They work inside your practice management system and your phone setup. Nothing is migrated and no new tool is introduced.
Take the recurring load first
Phones, scheduling, reminders, recalls and intake move over first, because they are the highest volume and the most interrupting.
Then take prior authorizations
Once the routine work is stable the assistant takes authorization submission and follow up, which is the task that most reliably eats a clinical afternoon.
Included with a virtual medical assistant
Agree the scope with your practice, then keep the day-to-day work organized around it.
- A dedicated assistant, not a shared call centre
- Inbound and outbound call handling
- Scheduling, reminders and recalls
- Patient intake and demographic entry
- Insurance verification support
- Prior authorization submission and follow up
- Works inside your existing systems
- Named cover arranged for planned absence

A clear boundary between support and clinical care
Administrative questions can be handled within your practice workflow. Clinical advice, urgent symptoms and treatment decisions are routed to the appropriate practice staff.
A dedicated assistant and a call centre are different products
Both answer the phone. Only one of them knows who is calling.
| Situation | Shared call centre | Dedicated assistant |
|---|---|---|
| A regular patient calls | Starts from nothing every time | Known, with the history in front of them |
| A scheduling rule is unusual | Booked wrong, fixed by your staff later | Learned once and applied |
| An authorization needs chasing | Out of scope | Followed up until there is an answer |
| Your staff need something | A ticket | A person they know |
| Volume is quiet | You pay for the pool | They work your other queues |
A few things to know before we start
The right scope starts with a clear conversation.
Ask it directly. You will get an answer from somebody who works accounts, not a sales script.
Monday to Friday, 8am to 5pm Central TimeAre they full time on our practice?
That is set in the arrangement and we will be specific about it before you sign. What we do not do is quietly share one assistant across practices while calling them dedicated.
What about patient information?
They work inside your systems under your access controls, with the same handling rules as the rest of our staff. Nothing patient identifying is moved to a system of ours.
Can they do clinical work?
No. This is administrative support. Anything requiring clinical judgement stays with your licensed staff, and we will say so if a task you want delegated crosses that line.
What happens when they are on leave?
Cover is named in advance for planned absence and briefed on your account rather than dropped in cold.
Most practices do not buy one service in isolation. These are the ones that change the same numbers.
Work out what is actually delegable
Tell us your specialty and the billing issue you want reviewed. We will agree the scope and arrange a secure way to share any records needed.
